CLINICS ON CLINIKO

Accountants for Physio and Therapy Clinics on Cliniko

Run your whole clinic from one set of numbers. OutRise Vision puts your Cliniko diary and invoices beside your Xero books, so you see your clinicians, your rooms, your profit, your cash and your debtors in one place.

Your Whole Clinic in One Place

Your accounts tell you whether the clinic made money. Your diary tells you why. OutRise Vision puts the two side by side:

  • The business, from Xero: revenue, margins, overheads, profit, cash, debtors and the balance sheet, in your Board Report.
  • The clinic, from Cliniko: each clinician's utilisation, rebooking and revenue, and how hard your rooms are working.

The screens below are from a physiotherapy clinic we work with, shown with the clinic's permission. Clinicians' names have been changed and money figures scaled.

The Business: Your Board Report

Every Board Report opens with a One-Minute Summary: the six numbers to read first, then what worked well and what didn't. Behind it sit revenue, key customers, margin, overheads, EBITDA, the detailed profit and loss, the balance sheet and cash.

OutRise Vision Board Report One-Minute Summary for a physiotherapy clinic: revenue, gross margin, EBITDA and net profit for the month against last year, with what worked well and what didn't.

A clinic's One-Minute Summary for August, against the same month last year.

The Clinic: Clinicians, Diaries and Rooms

The clinic dashboard turns your Cliniko appointments and invoices into the numbers a clinic owner needs, for the whole clinic and for each clinician:

  • Utilisation, booked against rostered hours and adjusted for leave, so a quiet month reads differently when someone was on holiday.
  • New patient to follow-up ratios for self-funded, insurance and combined work, judged against 1:4, 1:5 and 1:6 benchmarks.
  • Cancellations, DNAs and rebooking for each clinician.
  • Revenue per appointment, per patient-facing hour and per available hour.
  • Patient and income mix: self-funded against insurance work, and revenue by funder.
  • Comparisons with last period, the clinic average and your targets.
OutRise Vision clinic dashboard: utilisation, patient visit average, rebooking rate and new patients against target, and a month-by-month grid of each clinician's utilisation, coloured from capacity to fill to burnout risk.

Utilisation for each clinician, month by month: who has capacity to fill and who is at risk of burning out.

OutRise Vision table of new patient to follow-up ratios for each clinician, self-funded, insurance and combined, each judged below, meeting or exceeding the 1:4, 1:5 and 1:6 benchmarks.

New patient to follow-up ratios against the benchmarks, clinician by clinician.

Empty Rooms or Empty Diaries?

Give us one number, your rooms multiplied by your weekly opening hours, and Vision compares the hours your building could treat with the hours you staffed and the hours you treated.

OutRise Vision physical clinic capacity: room hours available, staffed hours and treated hours as bars, with room utilisation and staffed coverage percentages.

Low staffed coverage means empty rooms: a hiring or rota question. High coverage with low utilisation means empty diaries: a marketing or pricing question. Knowing which problem you have tells you where to spend.

Built on Your Cliniko and Xero Data

  • Cliniko syncs every night, and every screen shows when the data was last updated.
  • Insurance work is valued at your fee schedule for each completed appointment, because insurer invoices arrive weeks later. A tie-out line shows the difference against your actual Cliniko invoicing.
  • Your Board Report is built from your Xero ledger and reconciled back to Xero.

What you add is small: each clinician's usual weekly clinical hours (set once), the leave they took each month, your insurer and self-funded fees, and your room capacity.

Which Service Level Includes It

Every client receives the Board Report. The clinic dashboard comes with Strategic Growth Partner. See OutRise Vision for everything the platform does.

Questions Clinic Owners Ask

Do I see my profit and cash as well as my clinic numbers?

Yes. Your Board Report is built from your Xero books and covers revenue, margins, overheads, profit, the balance sheet and cash. The clinic dashboard adds your clinicians, diaries and rooms from Cliniko, so you manage the whole business from one place.

Does the clinic dashboard need Cliniko?

Yes. The clinic dashboard reads your appointments and invoices from Cliniko, and it refreshes every night. Your Board Report is built from your Xero books, so the two sit side by side.

How is insurance work counted before the insurer pays?

Insurer invoices arrive weeks after the work, so insurance revenue is valued at your fee schedule for each completed appointment. A tie-out line shows this against your actual Cliniko invoicing, so you can always see the difference.

Do you work with clinics outside Kent?

Yes. Our office is at the Canterbury Innovation Centre, and we support clinics across the UK using cloud systems and video meetings.
